Faculty Leaving IU Indianapolis (Not Retiring)
This guidance applies to full-time faculty who are leaving IU Indianapolis and do not qualify for IU retiree status.
Faculty who leave the university without retiring are considered to be resigning their appointments. Their separation is processed as a resignation (termination), not a retirement.
Access to University Systems
Faculty who do not qualify for IU retiree status are generally not eligible for continued access to university systems and services after their employment ends.
Faculty should plan accordingly and ensure that they transfer or retain any information needed before their departure date, consistent with university policies and departmental procedures.
Separation Dates for 10-Month Faculty
For 10-month faculty whose appointment follows the academic-year schedule:
- Faculty leaving at the conclusion of the spring semester and who are not teaching summer courses or conducting summer research have a final work date of May 31.
- Faculty leaving at the conclusion of the fall semester have a final work date of December 31.
Because these dates correspond to the standard academic appointment period, alternative separation dates generally should not be selected.
Schools are not obligated to provide summer teaching assignments, research appointments, or other summer employment opportunities to faculty members who are leaving the university.
Summer Teaching or Research Appointments
If a departing 10-month faculty member is employed in a summer teaching or research appointment, the separation date should coincide with the conclusion of that appointment.
In those situations:
- The faculty member receives compensation associated with the summer appointment.
- The faculty member does not receive regular academic-year salary beyond the end of the 10-month appointment period.
- Benefits eligibility, including health insurance, generally continues through the duration of the approved summer appointment in accordance with applicable university policies.
Separation Dates for 12-Month Faculty
Twelve-month faculty are generally eligible to use accrued vacation in accordance with university policy through their final date of employment.
Vacation eligibility is prorated based on the portion of the calendar year worked. For example, a faculty member who separates midway through the year would generally be eligible to use the portion of annual vacation earned during that period.
Vacation may not be paid out as additional compensation. However, faculty may use approved vacation time immediately before their separation date, sometimes referred to as terminal leave. For example, a faculty member whose appointment ends on June 30 may use accrued vacation for part of the final weeks of employment if approved by the appropriate administrator.
Questions regarding vacation balances and usage should be directed to school HR staff.
Notice of Resignation
Faculty are encouraged to provide as much advance notice as possible when they decide to leave the university.
Early notice benefits students, departments, and schools by allowing sufficient time to:
- Adjust teaching assignments;
- Plan course schedules;
- Reassign administrative responsibilities; and
- Conduct any necessary recruitment or transition activities.
Whenever possible, faculty should inform their department chair or dean as soon as they have made a final decision, ideally during the semester preceding their departure.
Preparing for Departure
Departing faculty should be reminded to make appropriate arrangements regarding:
- University-owned files, records, and equipment;
- Transition of active teaching, service, or research responsibilities;
- Continuation of health insurance coverage through COBRA, if applicable;
- Delivery of tax documents and year-end payroll information; and
- Verification of their current mailing address in university records.
Faculty should also work with their department and school to ensure an orderly transfer of any ongoing responsibilities.
Research and Sponsored Activities
Faculty who have active grants, research projects, laboratory operations, or sponsored programs should consult with their school's:
- Associate Dean for Research;
- Research administration office; or
- Grants officer
regarding procedures for transferring ongoing activities, closing projects, or coordinating with a new institution.
