eDocs for AC1 faculty, adjunct faculty (AC2), and for 12-month student academics (AC3) must be received in the Academic HR Action List no later than Thursday, August 13, 2026, for payments to be processed in time to meet the scheduled August 31, 2026, pay date. If the August 31 pay date is missed, the next pay date will be September 30. It will not be possible to include adjunct faculty appointments or student academic appointments with biweekly payroll.
The initial fall (effective date August 1) pay date for 10-month student academics (AC3) is September 4, 2026, and eDocs for those appointments are due no later than Thursday, August 20, 2026. The second pay date for student academics will be September 30.
AC1 academic appointments are only for those working 30 Standard Hours or more (.75-1 FTE). There will be no AC1 faculty with an appointment of less than 30 Standard Hours.
AC2 (adjunct) appointments are restricted to instructional appointments only. Adjunct faculty cannot work more than 29 Standard Hours per week on average during any term (spring, fall, or summer) across any appointment at any other IU school or campus. The contract pay eDoc requires entry of the total number of credit hours being taught. No exceptions will be approved.
Those appointed in AC2 positions MAY NOT be hired into temporary (hourly) positions when there is an active AC2 job – whether there is a contract or not.
Appointments should not be withheld pending knowledge of the exact number of sections to be taught. If need be, appointments can be changed or canceled. Please contact our office for assistance if this situation arises.
For AC3s, graduate student academics, no appointment will be approved for less than 15 Standard Hours (37.5% FTE). Additionally, if you know the student will not be enrolling in at least six credit hours (or a full-time-equivalent thesis course), you may not hire them as an AC3. For graduate student appointments not meeting these qualifications, you must use a temporary position.
You may be able to waive this plan if you already have other health coverage. See "Waiver Form" at the above link.
Hiring
There is no special fall hire eDoc as there is in the summer.
When submitting any hire eDoc, please remember that a background check may be required if one has not been done in the last year. Background checks are required for most employees. Additionally, the I-9 Form must have been completed for approval of all hire eDocs. If an employee is rehired within three years of the date that a previous I-9 was completed, you can use Supplement B on that same I-9 for the rehire action. Work authorization documents can be updated by completing another Supplement B for Work Authorization. Hire eDocs include a field that establishes the beginning work date for fall appointments--this date will be audited against I-9 completion dates for compliance with federal laws.
A Personal Profile Form is required for our files. Please attach it to the eDoc; this will speed up the approval process.
